Travel Manager
Reporting to the workforce management team, this dual-role position combines the responsibilities of Travel Manager and Fleet Manager. The Travel Manager scope covers the design, management and continuous improvement of the Group’s corporate travel policy, ensuring the well-being and safety of travelling employees (Duty of Care), cost efficiency, and CSR commitments around sustainable mobility. The Fleet Manager scope covers the strategic management of the Group’s vehicle fleet, from acquisition and maintenance to compliance, driver safety and total cost of ownership optimisation. He/She serves as the primary point of contact between employees, HR Business Partners, travel and fleet service providers, and the Procurement department.
Key Responsibilities
Travel Manager
1 — Travel Policy & Professional Mobility
- Design, implement and continuously evolve the Group's corporate travel policy in alignment with HR and Senior Management
- Integrate the travel policy into the broader professional mobility framework (long-term assignments, secondments, expatriations)
- Collaborate with HR Business Partners to anticipate travel needs by employee population and business unit
- Ensure full compliance of the travel policy with applicable labour law, company agreements and tax regulations governing business travel
2 — Employee Experience & Well-being
- Ensure the comfort and well-being of travelling employees (travel class standards, accommodation quality, journey time management)
- Raise awareness among managers and employees about fatigue risks and the right to disconnect while on assignment
- Actively contribute to the Quality of Work Life (QWL) strategy in its mobility dimension
- Handle employee complaints and feedback, and implement corrective action plans accordingly
- Act as the key HR point of contact for all employee queries related to business travel
3 — Operations & Tools Management
- Oversee and administer the online booking platform (Self Booking Tool) and expense management systems
- Manage the relationship with the corporate Travel Management Company (TMC) and key suppliers (airlines, hotels, car rental companies)
- Coordinate with the Procurement department on supplier tenders and contract negotiations
- Configure and maintain compliance rules within booking tools (fare caps, travel classes, advance booking requirements)
- Supervise the expense reimbursement process in coordination with Finance and Payroll
4 — Duty of Care & Traveller Safety
- Design and manage the traveler risk management program: employee tracking, alerts, and emergency response procedures
- Ensure compliance with the employer's legal obligations regarding the safety and protection of employees on assignment
- Manage crisis situations involving travelling employees (repatriation, medical incidents, geopolitical events)
- Work with the Risk Management department, IT and the international assistance provider on alert and geo-tracking systems
- Maintain an up-to-date risk map by destination and adapt travel guidelines accordingly
5 — Budget Management & HR Reporting
- Analyze Travel & Expense (T&E) spending and produce regular reports for HR leadership and senior management
- Deliver HR-oriented analytics: cost per employee, per department, per mission type, per geographic zone
- Define and track performance KPIs (policy compliance rate, savings generated, traveller satisfaction, carbon footprint)
- Contribute to the annual travel budget in coordination with HR and Financial Controlling
- Identify optimisation levers and formulate strategic recommendations to management
6 — Communication, Training & Stakeholder Engagement
- Train and coach employees on the corporate travel policy, booking tools and best practices
- Animate the network of assistants, office managers and travel arrangers across all business units
- Communicate policy updates via internal channels (memos, HR intranet, information sessions)
- Develop training materials and communication assets tailored to different traveller profiles
7 — CSR & Sustainable Mobility
- Embed environmental criteria into travel decisions: carbon footprint tracking, rail preference over air, CO2 offsetting
- Promote alternatives to physical travel (video conferencing, collaboration tools) in line with the remote working policy
- Contribute to the Group's CSR commitments and non-financial reporting on sustainable mobility
- Monitor and reduce travel-related carbon emissions in line with Group environmental targets
Fleet Manager
1 — Fleet Policy & Strategy
- Design, implement and continuously update the Group’s car policy in alignment with HR, General Services and Senior Management
- Define vehicle eligibility rules by employee category and manage the fleet catalogue (brands, models, energy types)
- Ensure full compliance of the car policy with applicable labour law, tax regulations and company agreements
- Anticipate fleet renewal needs and plan vehicle acquisition and return cycles
2 — Supplier & Contract Management
- Manage relationships with leasing companies, fleet management providers, dealers, fuel card suppliers and maintenance networks
- Coordinate with the Procurement department on supplier tenders, contract negotiations and framework agreements
- Monitor contract performance and service quality; manage claims and disputes with suppliers
3 — Operations & Fleet Administration
- Administer the fleet management system (vehicle registry, mileage tracking, maintenance schedules, insurance)
- Manage vehicle ordering, delivery, allocation and return processes
- Handle traffic violations, accidents and insurance claims; liaise with the insurer and legal department as required
- Manage fuel cards and monitor fuel consumption; identify anomalies and implement corrective actions
4 — Driver Safety & Compliance
- Design and deploy a driver risk management programme: licence verification, telematics monitoring, safe-driving training
- Ensure compliance with the employer’s legal obligations regarding vehicle roadworthiness, technical inspections and driver documentation
- Raise awareness among drivers on road safety rules and best practices; coordinate with HSE teams on accident prevention
5 — Budget Management & Reporting
- Monitor and optimise the total cost of ownership (TCO) of the fleet: leasing, insurance, maintenance, fuel, penalties
- Produce regular fleet reports and dashboards for management: fleet composition, costs by category, utilisation rate, savings
- Define and track KPIs (TCO per vehicle, electrification rate, CO2 emissions, accident frequency)
- Contribute to the annual fleet budget in coordination with Finance and Controlling
6 — CSR & Sustainable Mobility
- Drive the electrification and greening of the fleet: define EV targets, manage charging infrastructure deployment in coordination with IT and facilities
- Monitor and reduce fleet-related carbon emissions in line with Group environmental targets
- Contribute to the Group’s CSR commitments and non-financial reporting on fleet and sustainable mobility indicators
- Promote soft-mobility alternatives and multi-modal solutions in coordination with the Travel Manager scope
