Because we gather certain types of information about applicants during the recruitment process, we want to help you understand our practices surrounding the collection, use and disclosure of your personal information.

What does this policy cover?

This notice provides information about how Atos Group of companies, affiliates, and subsidiaries will use and protect your personal data when you apply for a job with an Atos Group company or register to be notified regarding suitable job vacancies.  It outlines your data protection rights and our collection, use and storage of your personal data. Please read this notice carefully prior to submitting any personal data.

Who is the Data Controller of my personal data?

The Data Controller of this processing is Atos SE and the company, affiliate or subsidiary that publishes the job vacancy you apply for.

What personal data do we collect?

If you submit an application for a position at an Atos Group company, we will collect the following categories of personal data:

Identifiers (name, postal address, phone numbers, email address, country of residence, passport number, nationality and residence, government ID numbers, Social Security number, immigration status);

professional information (Resume / CV, cover letter, previous work experience, education, transcripts, work authorization status, skills, references, work-related licenses, permits and certifications; and any other information you elect to provide to us (e.g., photo if contained in your Resume / CV, awards or professional memberships));

application information (expected income, type of job wanted, international mobility, availability); and

additional data you provide to Atos Group, including any correspondence between you and Atos Group exchanged during the application process including but not limited to message, chat, post, or similar functionality, where we are permitted by applicable law to collect this information.

Data from other sources:

We may also obtain data about you from other sources, where permitted by law, such as recruiters, market research companies, identity verification providers, and information you have made publicly available through third-party websites, including but not limited to LinkedIn.

If you have consented to background checks and/or where permitted by law, we may also collect details of professional registrations, sanctions with professional bodies, financial checks, drug testing results or criminal convictions.

Data we collect automatically about you:

How do we use your personal data, and what is the legal basis for this use?

Atos may access, use and store your personal data where we believe it is necessary to:

process your personal data because it is necessary to assess your job application, for example to review your qualifications as necessary to determine your eligibility for a position;

communicate with you about your application, reply to your inquiries, organize interviews, appointments and phone calls and send updates to you about other recruitment opportunities;

process your application, assess your qualifications and verify your identity and eligibility for the role; and

assess your skills and interest in career opportunities at Atos or Atos Entities.

We may also process your personal data to meet our obligations under employment or other law.

In addition, we may process your personal data on the basis of your consent, for example if you consented to receive information of future job opportunities or if we need to ask your permission to conduct a criminal background check (where permitted by law).

Who will we share this data with, and where?

Atos is a worldwide organization. Therefore, please consider that we have distinct legal entities, country affiliates and subsidiaries in many parts of the world. Our internal processes and infrastructure are international in scope and nature and generally cross-country borders. Therefore, you should be aware that we may share your personal data with other entities of Atos and transfer it to countries in different parts of the world where we have data centres or where we do business

Personal data will be processed manually and electronically through global systems and tools for the purposes above.  Atos has established a set of Binding Corporate Rules (BCR), which have been approved by the European data protection authorities.  The BCR allow Atos to ensure that personal data relating to individuals in the EEA, such as job applicants, has equivalent protections if transferred to Atos entities located outside of the EEA. Personal data may also be shared with third party service providers or processors, who will process it on behalf of Atos for the purposes above.  Such third parties include, but are not limited to, IT service providers, travel agencies and travel service providers, investigators, auditors, etc.  Third parties that process personal data on behalf of Atos are required by contract to implement safeguards that are no less protective than those implemented by Atos in order to protect any personal data they receive from Atos.  Third party service providers are further prohibited from using the personal data for any purpose other than to perform the services as instructed by Atos.

Personal data may also be shared with government authorities and/or law enforcement officials with a duly authorized information request, if mandated by law, or if required for the legal protection of our legitimate interests in compliance with applicable laws.

Personal Information may also be shared by us in the course of a corporate transaction, such as a proposed or actual reorganization, merger, acquisition, sale, legal separation, joint venture, assignment, transfer or other disposition of all or any portion of our businesses, assets, or stock. 

Atos will share your personal data with third parties only when legally justified.

Retention of your data

We will retain your personal data in a form that identifies you for no longer than is necessary for the purposes needed for the job application.  This requirement is subject to other laws and obligations that require Atos to retain information for certain periods.

Our policy is to delete your personal data and Resume / CV, 12 months (for applicants in the US this period is three years) after you last logged into our candidate portal (unless you have an open application), and to delete any individual applications that you make six months after that application was last edited, either by you or on your behalf.

Exercising Your Rights & Contacting Us

You have the right to:

  • information regarding how your personal data is processed.
  • of access your personal data processed by Atos.
  • erasure which allows you to require your personal data to be deleted by Atos.
  • restriction of processing which allows you to control how your data is processed.
  • object the processing of your personal data which means that you can require that Atos ceases to process your personal data.
  • rectification which allows for modification of your personal data being processed by Atos.

You may also have the right to ask for a copy of your personal data in a portable format or to restrict or object to the processing of your personal data.
