How we use your personal data and legal basis
We process your personal data only where it is relevant and necessary for recruitment purposes and where this can reasonably be expected in the context of professional recruitment activities.
Legitimate interests
We may process your personal data where necessary for our legitimate interests in managing and improving our recruitment process, including to:
- assess your application and determine your suitability for a role, including reviewing your qualifications;
- communicate with you about your application, respond to your requests, and arrange interviews or other recruitment activities;
- verify your identity and eligibility for employment; and

We may process your personal data where necessary to comply with legal or regulatory obligations, including employment-related laws.
Consent
In certain cases, we may process your personal data based on your consent, for example to receive communications about future opportunities or to conduct background checks where required by law.
Recruitment systems and integration
We use integrated recruitment systems and platforms to manage recruitment processes efficiently. Where required by applicable law, we obtain your consent for specific processing activities. This may include:
- synchronizing candidate data between our applicant tracking system and professional platforms (such as SAP SuccessFactors and LinkedIn Recruiter);
- matching application data with external sources where applicable;
- maintaining accurate and consistent candidate records; and
- improving data quality and reducing duplication.
This processing does not involve automated decision-making or profiling that produces legal or similarly significant effects.
Who we share your personal data with and where
Atos is a global organization with legal entities, affiliates, and subsidiaries in multiple countries. Our recruitment processes and systems are international in nature and may involve cross-border data transfers.
We may share your personal data with other Atos Group entities worldwide where necessary for recruitment purposes.
Atos has implemented Binding Corporate Rules (BCRs), approved by European data protection authorities, which ensure an adequate level of protection for personal data transferred outside the European Economic Area (EEA). More information is available in the Atos BCR Statement.
We may also share your personal data with third-party service providers acting as data processors. These include IT providers, recruitment technology providers, background check providers, audit services, and other professional service providers. These providers are contractually required to protect your data and may only process it in accordance with our instructions.
This includes SAP SuccessFactors (applicant tracking system) and LinkedIn (including LinkedIn Recruiter and integration services). Some providers may process data outside the EEA, including in the United States. In such cases, we ensure appropriate safeguards, such as Standard Contractual Clauses and additional security measures.
Depending on the context, LinkedIn may act as either a data controller or a processor. When you use LinkedIn directly, LinkedIn processes your data under its own privacy policy.
We may also share personal data with public authorities or law enforcement bodies where required by law or where necessary to protect our legal rights.
In the context of corporate transactions such as mergers, acquisitions, reorganizations, or asset transfers, personal data may be shared with relevant parties.
We only share personal data where there is a lawful basis to do so and where it is necessary for the purposes described in this Privacy Notice.
Use of professional networking platforms
We use professional networking platforms such as LinkedIn as part of our recruitment activities. This may include sourcing candidates, receiving applications via LinkedIn, and synchronizing data between LinkedIn and our recruitment systems.
This supports recruitment processes, improves data quality, and reduces duplication. All recruitment decisions are made by human recruiters and hiring managers. No automated decision-making is used.
Access to personal data is restricted to authorized personnel on a need-to-know basis and is governed by role-based access controls.
For more information, please refer to the LinkedIn Privacy Policy.
Retention of your personal data
We retain your personal data only for as long as necessary for recruitment purposes, subject to legal or regulatory retention requirements.
As a general rule, we delete candidate personal data 12 months after your last login to the candidate portal, unless you have an active application. Longer retention periods may apply in certain jurisdictions, including 24 months in France and Poland and up to 3 years in the United States, where required by law.
Where your data is processed across integrated recruitment platforms, we take reasonable steps to align deletion and retention across systems where feasible. Retention may also depend on external platform configurations and policies.
