Job Summary:
PMO Specialist is responsible for performing day-to-day financial and administrative activities operations. This may include areas such as: customer project oversight, governance and support, RFC management, cost center management reviews, reporting, forecasting, supplier management, customer projects month end activities and processing.
Responsibilities:
- Process of complex projects with multi-layered contract structures with multiple additional services.
- Provide analytical support on customer projects - reporting, forecasting, analyzing financial and non-financial data of projects and services through the lifecycle.
- Cost Center and WBS structure maintenance.
- Governance of the projects: cost of non-quality analysis, project tracking and comparing vs. initial business case, WebCip compliance, OneProject compliance.
- Consulting PMO support (no commercial Cover): revenue earner per HC, time booking analysis, monthly transaction analysis, pipeline, forecasting.
- Advisory PMO support (no commercial Cover): revenue earner per HC, time booking analysis, monthly transaction analysis, pipeline, forecasting.
- Supplier management: request quotas, raise POs, maintain trackers, GRN process upon receipt of goods.
- Manage the creation and updates for the monthly transaction analyzer reporting.
- Provide support to the Delivery/Service Manager with the creation, update and review of the WebCIP for the project.
- Work with the account teams to review month end position and agree revenue recognition, posting of WIP, and invoice creation.
- Creation, analysis, control, and consultation of project calculations in the offer process (fixed-price projects; internal and external suppliers; financing models, international issues);
- Preparation and control of contract data within the project lifecycle process (project creation, project completion, project maintenance) including appropriate plausibility checks.
- Preparation of the data relevant to the contract and presentation of the commercial status of the supervised projects.
- Preparation, consolidation, analysis of the monthly, quarterly, annual financial status report according to the reporting rules (including accruals, WIP status, order backlog, etc.), implementation of forecast and budgeting activities at project level.
- Structure and creation of KPI reports considering the requirements of the business.
- Technical coordination of commercial teams and special topics (e.g., creation and maintenance of templates, work instructions; support and cooperation in internal projects; assumption of SPOC roles)
- Control of analysis in relation to project profitability and implementation of control parameters for the operational units
- Support in the project-related investment and purchasing process for external and internal cross-company suppliers in one area (assigned customers);
Job requirements:
- University degree in accounting, finance, economics or related field
- Min. 3 years’ experience in accounting, controlling and commercial topics on project level
- Experience in closing the books according to IFRS
- Experience with system and software e.g., SAP, Excel, PMO related tools (Clarity, WebCip, One Project, Risk Management, Lessons Learnt, Guided Buying, 02), etc.
- Experience in business analyses concepts, tools, and techniques
- Experience in negotiating and communications skills with internal and external stakeholders
- High attention to detail and ability to interpret and explain complex data
- Creativity and out of the box thinking
- Fluent English
