Job Title: Location Head – Admin Operations (Location: Mumbai region)

 

Job Summary:

Candidate should be graduate having minimum 18/20 years of total work experience in Admin Operations and can independently handle operations of minimum area of 3 lakhs sqft. (preferably IT offices). Should be well versed with all aspects of operations and compliance. Additional educational qualification would be an added advantage. Candidate should be well versed with local language (Marathi).  Candidate should be conversant with Mumbai geography and be able to handle multiple offices across Mumbai region having hands on experience in the below mentioned areas-

 

Process Implementation:

  • To understand & implement administrative policies & procedures in line with organizational objectives and compliance requirements.
  • Knowledge of SEZ/STPI processes will be added advantage. 

 

Operations Handling

  • Responsible for developing, implementing & monitoring Facility Management   standards & processes for Day-to-day operations across the offices.
  • Prepare, manage, and track budgets & annual plans for managing all offices. 
  • Prepare and maintain all necessary reports / records including MIS. 
  • Vendor management including renewal of existing contracts, proposals for new contracts within procurement policy with cost effective & cost controlling initiatives.
  • Coordination with team for smooth functioning of sections like Transport, FM, Security , Store Inventory, MEP Services, Seat allocation ,SEZ formalities, Statutory Compliance, Lease Agreements, Cafeteria Operations, Events, Office interior works, EMS implementation etc.
  • Responsible for repairs & preventive maintenance for Civil Works, Soft & MEP services. Coordination with landlord team for common area maintenance and building compliances. 
  • Responsible for Fire & HSC, Disaster Management and Business Continuity Planning, Audits, Expense monitoring , Billing & Invoicing tracking.
  • Co-ordination with other departments (finance, procurement, legal etc) for smooth running of operations.

 

Public Relation & Coordination with Govt agencies:

  • Interface & co-ordination with various Govt. Authorities / Officials for required approvals / documentation.
  • Responsible & accountable for maintaining full proof compliance related to all statutory matters within offices.
