Role Overview:

The Supplier Release Coordinator is responsible for ensuring that the Release and Deployment activities are performed according to the agreed and documented process within their own organization. This role is often handled by the Supplier Release Manager.

 

Key Responsibilities:

  • Coordinates the work of teams involved in Releases within their organization.

  • Review the Requests for Change for the services for which they are responsible.

  • Splits the requirements of Releases into logical groups that can be handled efficiently.

  • Assists in the planning of Releases based on the Forecast of Schedule Change for which they are responsible.

  • Initiates the implementation of Releases and decides on corrective actions as needed.

  • Organizes and conducts post implementation meetings to collect improvement suggestions for future Releases.

  • Provides a Communication plan for the Release with all relevant stakeholders including Project Management, Service Introduction, Service Management, and the Service Integrator.

  • Manages Supplier’s escalations regarding coordination of environment, test and deployment teams.

  • Ensures teams follow the established Release and Deployment Management standards and procedures within their organization.

  • Provides constant updates to the Release record.

  • Provides relevant and agreed documentation.

  • Agrees policy with SACM for the access and control of DML (Definitive media library) contents.

  • Manages reporting for Release Management within Supplier’s own organization and attends the relevant reporting meetings.

  • Ensures all documentation is completed and updated throughout the lifecycle of the Release.

  • Confirms all necessary personnel who have an action in the deployment of the Release and updates the contact map.

  • Ensures that a back out plan is developed and tested and has been considered within the overall implementation plan to minimize impact to service availability

  • Attends post implementation meetings to collect improvement suggestions for future releases.

  • Responsible for the compliance to client Critical Success Factors/KPIs associated with the Release Co-Ordinator function.

Education & Experience:

  • Bachelor’s degree in IT, Computer Science, Business, or related field (or equivalent practical experience).

  • 3+ years of experience in IT Service Management, Release & Deployment Management, or related roles.

  • Previous experience working with external suppliers or vendor coordination is highly desirable.

  • Familiarity with ITIL frameworks, particularly in Release and Deployment Management.

Technical Skills:

  • Strong understanding of Release and Deployment Management processes and best practices.

  • Experience with Change Management and managing Requests for Change (RFCs).

  • Proficiency with tools such as ServiceNow,

  • Ability to develop and manage release documentation, schedules, and post-implementation reports.

  • Knowledge of Definitive Media Library (DML) management and access controls.

  • Understanding of SACM (Service Asset and Configuration Management) and how it interacts with release processes.

Soft Skills:

  • Excellent coordination and organizational skills to manage cross-functional teams and stakeholders.

  • Strong communication and interpersonal skills to develop and maintain stakeholder relationships.

  • Ability to manage escalations and resolve conflicts efficiently.

  • Critical thinking and problem-solving abilities for managing release risks and back-out plans.

  • Strong attention to detail and documentation management throughout the release lifecycle.

Process & Governance:

  • Demonstrated ability to adhere to process standards and ensure compliance within a supplier organization.

  • Experience in leading or participating in post-implementation reviews and driving continuous improvement.

  • Capable of developing and executing communication and deployment plans for complex IT releases.

  • Comfortable working within SLA, KPI, and CSF frameworks, especially those defined by clients.

Additional Requirements:

  • Flexibility to work across multiple projects/releases simultaneously.

  • Ability to work independently while managing multiple stakeholders and priorities.

  • Strong reporting and presentation skills; ability to present to senior stakeholders.
