We are looking for an experienced Senior Records Management / eAkte Consultant to support the rollout and optimization of an electronic records management platform in a German public-sector environment.

 

The role combines records management expertise, business consulting, process analysis and change management. You will work predominantly remotely, collaborating with business stakeholders, functional administrators and technical teams to analyze processes, define requirements and support the successful adoption of standardized electronic file management solutions.

 

The role is predominantly remote and requires regular on-site presence at the client location in Germany once a month.
The duration of each visit will depend on project needs and may be limited to one or two days.

 

Your role

  • Analyze and optimize business processes and records management requirements.
  • Conduct workshops, interviews and requirements-gathering sessions with business stakeholders.
  • Translate business needs into structured functional requirements.
  • Advise stakeholders on records management, document governance and process standardization.
  • Support the harmonization of business processes and records management practices across different departments.
  • Support implementation, rollout, Go-Live and Early Life Support, including the resolution of process-related and configuration-related issues.
  • Support functional records management elements, including metadata structures, document classifications, search configurations, templates, activity definitions and workflow-related settings.
  • Drive change management and support user adoption of standardized electronic records management processes.
  • Conduct workshops and user training in German, prepare user-facing documentation and support knowledge transfer.
  • Facilitate cooperation between business units, functional administrators and technical teams.
  • Independently structure, coordinate and deliver assigned work areas in alignment with agreed standards, project objectives and stakeholder requirements.

 

Requirements

  • Professional experience in Records Management, Document Management, DMS, ERM, ECM or closely related consulting activities.
  • Experience in customer-facing consulting, business analysis, requirements engineering or process consulting.
  • Experience conducting workshops, interviews and requirements-gathering sessions with business stakeholders.
  • Strong understanding of records management, file management, document governance, metadata concepts, document lifecycle management, retention principles and electronic case and file management.
  • Experience working for or with public-sector organizations, including an understanding of public-sector requirements, regulatory frameworks and procedures for managing official documents and electronic records.
  • Experience with German public administration and familiarity with its legal, regulatory and procedural environment is strongly preferred. Comparable experience from public administration in Poland or another country is also accepted.
  • Practical experience with at least one established DMS or ECM platform, such as Fabasoft eGov-Suite, Doxis, DocuWare, OpenText Content Management, ELO ECM Suite, M-Files, Alfresco, Comarch DMS, enaio or nscale, or with a comparable solution.
  • Ability and willingness to quickly learn and work effectively with Fabasoft eGov.
  • Strong consulting, communication and stakeholder management skills.
  • Ability to explain records management principles and governance requirements clearly to business users and stakeholders.
  • German language proficiency at C1 level or higher, including the ability to conduct workshops, interviews, requirements sessions, training and consulting discussions in German.
  • Ability to work with a high degree of independence, organize assigned activities and drive topics through to an agreed outcome.
  • Willingness to work remotely and travel to the client location in Germany once a month.

 

Nice to have

  • At least five years of relevant professional experience.
  • Experience with eAkte implementations or comparable electronic records management systems.
  • Direct experience working for or supporting German public administration.
  • Knowledge of German public-sector records management requirements, regulations and document-handling procedures.
  • Experience supporting large municipal, governmental or other public-sector organizations.
  • Experience with change management, migration and rollout projects.
  • Experience working in agile project environments.
  • Knowledge of public administration structures in Germany.
  • Fabasoft eGov administration experience.
